The position of Senior Office Assistant provides clerical support for the highly trafficked Student Health Services (SHS) of The New School. SHS supports medical, counseling, health insurance, and wellness and health promotion as well as ancillary support given to Student Support and Crisis Management. This position will work in highly visible public position and must maintain the highest level of customer service. Reporting to the Office Manager, this is a full time, union clerical position.
– Providing overall clerical support to SHS: faxing, filing, photocopying, reception, printing, typing, information searches for staff, answering phones;
– Providing high quality customer service: assisting students with questions, greeting students in a respectful and helpful manner, providing timely attention to student needs, answering phones promptly, maintaining calm demeanor;
– Maintaining and contributing to a team-oriented approach within SHS;
– Maintaining a complex electronic health care appointment scheduling system; working with the Office Manager to maximize professional staff schedules;
– Collaborating with Student Services Communications and Information Technology in sending out immunization reminder emails, updating medical forms, and, drafting immunization correspondence;
– Coordinating the immunization process by serving as first-point contact for all immunization phone, email, mail and in-person inquiries;
– Generating statistical, appointment and medical diagnosis reports;
– Relaying information regarding Insurance benefits, immunization requirements, basic medical procedures in accordance with privacy law requirements;
– Uploading confidential files from Banner to NueMD and Campus Counts software programs;
– Entering medical coding into the NueMD software;
– Submitting purchase orders, duplication orders, repair orders, catering, furniture orders, as directed by supervisor
– Participation in SHS committees, of which include: the Electronic Health Record Implementation Team and Continuing Quality Improvement Initiatives;
– Maintaining the front desk and student waiting area by: keeping it in a neat and organized manner; monitoring , assessing and appropriately responding to traffic flow and any emergency or critical situations which may arise;
– Other duties as assigned
Minimum Qualifications:
– Two to three years experience in an office environment, preferably in a health care setting
– Excellent customer service and organizational skills
– Successfully demonstrated ability to work in a highly trafficked, clinical setting
– Computer literacy in Microsoft Office NueMD, and Banner is preferred
– Good judgment and appropriate response to crisis situations is preferred.
