Parsons The New School for Design, a division of The New School, seeks a full-time Senior Office Assistant in the School of Design Strategies (SDS). SDS consists of academic programs in Design and Management, Integrated Design, Transdisiplinary Design, Urban Design, Environmental Studies, and, Foundation; in addition, SDS is comprised of approximately 350 full- and part-time faculty, and, more than 1,300 students. Reporting to the Director of Operations, the primary functions of the Senior Office Assistant are: to provide support for the school Dean; manage internal and external communication, and, serve as point person for all space requests, and, coordinate events and public programming. This is a full-time, union clerical position.

Responsibilities include but are not limited to the following:
– Provides administrative support for the school Dean: maintaining the calendar of deadlines and events, scheduling meetings and events, note-taking, and drafting correspondence and announcements. Maintains the Dean’s daily email correspondence, and responds and/or redirects communications on the Dean’s behalf. Coordinates meeting agendas and/or programs, produces meeting minutes and provides necessary support materials for school meetings.
– Communicates with external partners and university offices.
– Maintains aper and/or electronic directories for the Dean.
– Provides analytical and administrative support to the Dean by compiling data, soliciting and researching information from a variety of sources both on and off campus, and, preparing reports and presentations as needed.
– Organizes activities and projects for the Dean.
– Processes all space requests for the School through the University’s R25 online reservation system.
– Schedules and coordinates school-wide events, lecture series, and meetings, working with external cosponsors, faculty, and offices and staff across the university.
– Provides staff and faculty with general administrative support. Provides telephone support for the School.
– Maintains SDS’ online magazine (blog) by soliciting and updating content on a regular basis; developing and maintaining site organization and structure; and, troubleshooting when needed.
– Assists with coordination of yearly exhibitions, commencement ceremonies, and the schedule builder process.
– Coordinates special projects for the School as necessary.
– Performs additional duties as required.

Minimum Qualifications:
– A minimum of two years of administrative experience in similar, complex work environments.
– Excellent communication and interpersonal skills, as well as outstanding time-management and organizational skills.
– A strong team-work experience, with a strong ability for working independently in a dynamic, fast-paced environment.
– Professional knowledge of Microsoft Office suite (including Excel), of any Content Management System, and HTML or any software for the creation of Web content is a plus.
